TERMS & CONDITIONS

These T&Cs let us run the event smoothly, providing an enjoyable and safe weekend for all. All individuals attending Q-Con must agree to these:

Behaviour

  • All attendees should treat everyone at Q-Con with respect.

  • Attendees must not involve themselves in disorderly, disruptive, or illegal behaviour at Q-Con.

  • All attendees must comply with the instructions of the volunteers, venue staff, and signage at all times when attending Q-Con.

  • Attendees may not connect to or interfere with the venue’s electrical sockets or data network except where explicitly signposted in permitted areas.

  • All attendees must display their Q-Con wristband at all times while at the event.

  • Attendees must not leave the designated convention areas and enter restricted areas, except in the case of an emergency evacuation.

  • In line with current legislation, Queen’s University enforces a no smoking policy throughout all of its buildings and premises. Smoking, including e-cigarettes/vaping, is only permitted in designated smoking areas outside.

  • Q-Con insists that all participants follow government guidelines regarding COVID-19 or any other communicable diseases, whatever those may be at the time of the event.

Activities

  • In all Q-Con events the decisions of appointed officials are final.

  • It may be necessary to cancel or reschedule timetabled / advertised events due to unforeseen or uncontrollable circumstances - Should this happen, any competition registration fees will be refunded, and a range of alternative events will be provided.

  • All attendees of video screenings must ensure that their mobile telephones are switched off, and refrain from disruptive behavior.

  • Any attendees bringing props, weapons or costumes must ensure they are safe, securable and easily carried without assistance or interference to other attendees, volunteers or staff. (NB. Please review Cosplay & Weapons policies for more specific requirements.)

Membership & Attendance

  • Convention Membership is non-transferable, membership tokens are only valid for the named individual they were purchased for.

  • Unfortunately due to our ticketing system, we are unable offer refunds for tickets and other advance purchases however it may be possible for us to transfer tickets if we are contacted in advance.

  • The convention organisers reserve the right to revoke attendance at any time, e.g. for serious breaches of convention policy. No refund will be given, and the police may be called where the law has been broken.

Data Protection & Recording

  • Personal data collected will be used to process your membership, inform you about future events, and to contact you about tournaments you have signed up for; but will not be sold or otherwise passed on to third parties. (Unless we are compelled to by law, or for the prevention of crime.)

  • Photo and video recordings will be taken during the event by authorised Q-Con photographers and videographers. These recordings will be used for promotional purposes by Q-Con and shared on our social media. No video footage of specific attendees will be used without consent.

Ownership & Responsibilities

  • Anyone bringing personal belongings to Q-Con does so at their own risk, and Q-Con accepts no responsibility for lost or damaged personal belongings.

  • All purchases from traders, artists or other organisations are direct transactions between the seller and attendee. Q-Con accepts no liability for any merchandise, foodstuffs, or other items purchased at the convention.

  • Attendees may not engage in commercial activity on behalf of themselves or any other organisation while attending Q-Con, unless they are registered as traders, artists, or recognised commercial partners.

  • Q-Con, its organisers, its volunteers, and its affiliated organisations accept no liability whatsoever for any direct or consequential loss resulting from cancellation, delay, or suspension of the Q-Con event as a result of COVID or any other circumstances.

  • Q-Con accepts no liability for losses incurred through any errors and omissions within this document or any other Q-Con publications or media.

Age Restrictions & Safety

  • Attendees under 12 years of age must be escorted at all times by their registered parent or guardian.

  • Use of the convention bar facilities, consumption of alcohol purchased there, participation in over 18 activities, and entrance to the venue after designated times is restricted to over 18s. Attendees should bring a valid, recognised form of photo identification with their age.

  • You agree that you have no criminal convictions, other court orders against you, or other circumstances which could disqualify you from taking part in a public event for all ages.

  • Under the Safeguarding Policies of Queen's University Belfast, when on university premises nobody may photograph anyone under the age of 18, unless they have explicit prior consent. 17 and 16 year olds can give their own consent to be photographed to photographers; but under 16s must have consent provided by their parent or guardian in advance of the event using the Q-Con form. All Q-Con attendees must abide by this Queen’s University Policy.
